This article explains how to use EP to record Gas / Electric and Proof of Address (POA) compliance. Youโll learn where to add details, how to monitor compliance, how to handle errors, and what to avoid.
๐ Two Key Areas in EP
๐ Safety Test Journal โ Where you add new detail to a new or existing test.
๐ Safety Test List โ Shows the most up-to-date details of existing tests. Filter here to monitor compliance.
๐ Recommendation: Bookmark both of these pages to your homepage.
๐ Reports Missing Tests?
If reports show fewer tests than expected:
Check your journal.
Details added to a journal must be posted to submit info and attach it to the unit.
You can post individual lines if other lines are incomplete.
๐ฅ Multiple Users on Park
If more than one person adds Safety Test detail:
Communicate with each other to ensure consistency and avoid frustration or lost data.
You can filter entries by your User ID before posting so you donโt affect another userโs work.
โ ๏ธ Error: Previous Test Date After Current Test Date
If you get this error:
Delete the previous test date from the journal column.
The error message will show you the Safety Test number.
This action will not delete the historic test detail โ only the journal detail.
๐ Filtering Your Journal
When populating a journal, avoid bringing through recently updated tests.
Use filters to exclude them.
For Example:
Next Test Date: <T โ This filter brings through only out-of-date tests.
<= less thanT= today
๐ก Avoid leaving completed lines in the journal for long periods. This keeps information current and accurate.
๐ Using the Safety Test List
The Safety Test List is useful for:
Checking owner compliance numbers.
Quick lookups.
Saved views make lookups faster.
Example: Create separate lists for each test type with in-date and out-of-date filters.
๐ Using the Safety Test Journal
Use the Journal to add new detail.
Deleting an entry in the Journal:
Only deletes that line.
Does not affect historic records.
๐ซ Deleting a Safety Test from a unit card or owner record:
Deletes all entries associated with it.
Do not do this if you need historic entries or if current journal information hasnโt been posted.
If you get an error that the safety test doesnโt exist when posting, this may be the cause.
โ Adding to Journals
You cannot populate a journal if it isnโt empty.
You can still add extra lines one at a time.
Example: A new owner joins, or you need to add a gas test to a journal already populated with POA entries.
โ Summary
Journal = Add new details.
List = Monitor compliance and run quick lookups.
Always post your journal entries to attach them to the unit.
Use filters (like for Next Test Date: <T ) to keep journals tidy.
Communicate with other users to prevent lost or conflicting data.
Be careful when deleting โ journals are safe to clear, but unit/owner records will remove everything.
